The Role of Headers and Footers
Headers and footers are professional markers of a document. Headers typically hold the document title, chapter names, or company name; footers usually contain page numbers, dates, confidentiality level, or version number. Formal contracts, proposals, and technical documents almost always include headers and footers—they make documents look standardized and facilitate archiving and retrieval.
DocsAll PDF Header and Footer Tool
The PDF Header and Footer tool can batch add unified header and footer text to an entire PDF:
- Open the Header and Footer tool and select a PDF file
- Enter the header text (e.g., "XX Company Contract")
- Enter the footer text (e.g., "Confidential · 2026")
- Click "Add" and download the processed PDF
The entire process is completed in the browser, with no server upload.
Common Usage
Headers for Document Identification
- Company name + document title
- Project number, version number
- Confidentiality markers like "Confidential", "Internal Use Only"
Footers for Metadata
- Page numbers (more flexible when combined with the Page Numbers tool)
- Print date, effective date
- File number, archive number
Batch Processing Tips
If you have multiple PDFs that all need the same header and footer, you can:
- First use PDF Merge to combine them into one file
- Add headers and footers all at once
- Then use PDF Split to separate them back into individual files
This is much more efficient than processing one by one, especially for batch-adding company identifiers to contracts.
Notes
- Header and footer text should not be too long to avoid covering the main text
- Confirm the original PDF has sufficient margins before adding, otherwise overlaps may occur
- If different chapters need different headers, process them in segments and then merge
- After processing, preview to confirm the position and font are appropriate
